Who We Are

ORchestrait LLC builds scheduling and workflow software for clinical and healthcare operations. This policy explains how we handle information collected through our website, waitlist, application, and transactional SMS alert program.

Information We Collect

When you join the waitlist or request a demo, we collect the business contact information you provide, such as your name, email address, organization, role, department, approximate team size, referral source, and notes. We also collect limited technical and campaign information, such as browser user agent, referring page, campaign parameters, and a hashed version of your IP address, for attribution, security, abuse prevention, and operational diagnostics.

When an authorized product user chooses to enable SMS alerts in the ORchestrait application, we collect the mobile phone number the user provides, the user's SMS preference and consent record, and information needed to deliver and manage those alerts.

How We Use Information

We use waitlist and demo-request information to respond to early-access and demo requests, manage prospective customer interest, send requested product-related communications, improve the site, measure campaign performance, and protect the service from abuse.

We use mobile numbers only to send transactional, time-sensitive schedule and coverage notifications requested by the user. These may include same-day schedule changes, coverage needs, assignments, and related operational alerts. ORchestrait does not use this SMS program to send marketing or promotional messages.

SMS Messaging

SMS enrollment is optional and occurs through an affirmative, non-pre-checked preference in the ORchestrait application. Message frequency varies based on schedule and coverage activity. Message and data rates may apply.

Reply STOP to cancel SMS messages at any time, or disable SMS in the ORchestrait application. Reply HELP for help, or contact hello@getorchestrait.com.

Analytics

We may use analytics tools, including Google Analytics or Firebase Analytics, to understand aggregate site usage and improve the landing page. If analytics tags are enabled, those tools may collect device, browser, and usage information according to their own policies and settings.

Sharing

We do not sell waitlist or demo-request information. We may share non-SMS information with service providers that help us operate this site, host data, provide analytics, or communicate with prospective customers. We may also disclose information if required by law or to protect rights, safety, and security.

We do not share, sell, or rent mobile phone numbers or SMS opt-in data to third parties or affiliates for marketing or promotional purposes. Mobile information may be provided only to service providers that support delivery of the requested transactional messages, subject to appropriate restrictions, or when disclosure is required by law.

Retention

We keep waitlist and demo-request information for as long as needed to manage early access, respond to demo requests, communicate about ORchestrait, and maintain business records, unless you ask us to delete it sooner. We retain mobile numbers, SMS preference records, and opt-out records only as long as reasonably needed to provide the alert service, honor messaging choices, resolve disputes, and meet legal or compliance obligations.

Your Choices

You can ask us to update or delete your waitlist or demo-request information, or ask us to stop contacting you, by emailing us at the address below. Marketing or product-update emails should include an unsubscribe or opt-out mechanism where required. SMS choices are managed separately through the application or by replying STOP.

Protected Health Information

Please do not submit protected health information through the waitlist or other marketing forms. Those forms are intended for business contact information only. Any product handling of protected health information is governed by applicable customer agreements and product controls, not by waitlist consent.
